For Owner-Operated and Small-Team Businesses
Search for the cost of a missed call and you will find the same three numbers everywhere: 62% of calls to small businesses go unanswered, 85% of callers never call back, and the average small business loses USD 126,000 a year. They are repeated by dozens of AI receptionist vendors. They cannot be traced to a verifiable primary study, and this page does not use them. What it offers instead is a calculation built from your own inputs, a worked example with every assumption visible, and the consumer behavior data that can be verified.
The best available data is a September 2025 CallRail survey of 1,000 US consumers. It is a vendor survey, as nearly all research in this category is, and it is labeled as such. It found that 78% of consumers have abandoned a business after an unanswered call and 82% say they will call a competitor if a business does not answer. When nobody picks up, 42% leave a voicemail, 24% switch to online chat, and 21% immediately call another business. Long hold times are the biggest complaint for 39%, and for 49% of Gen Z 1. Note that CallRail does not say callers abandon a business “for good,” and that word should not be added.
Small business owners feel it: in a 2025 survey of 320 SMB owners and managers, 42% estimated missed calls cost them more than USD 500 a month 2v.
Your missed-call cost depends on five numbers you can find or estimate from your own records:
The cost per missed call is then: lead share multiplied by close rate multiplied by customer value, discounted by the share of missed callers who do call back. The annual cost is that figure multiplied by missed calls per year.
AMBS, an answering service, publishes a model with its inputs stated: 20 calls a day, a 30% miss rate, one lead per four calls, one customer per five leads, and a USD 243 annual customer value (attributed by AMBS to Forbes). On those inputs it calculates 109.5 lost customers a year, USD 26,608.50 in lost annual revenue, and USD 12.15 per missed call 3. It is a model, not a measurement; its value is that every number is visible and can be replaced with yours.
| Input | AMBS example | Your business |
| Calls per day | 20 | |
| Miss rate | 30% | |
| Missed calls per year (approx.) | 2,190 | |
| Lead share | 1 in 4 | |
| Close rate | 1 in 5 | |
| Customer value | USD 243 a year | |
| Lost customers per year | 109.5 | |
| Cost per missed call | USD 12.15 | |
| Annual cost | USD 26,608.50 |
Two cautions. First, if your customer value is a USD 4,000 HVAC replacement or a USD 1,500 dental treatment plan rather than USD 243, the per-call cost is many times higher, which is why trades and practices feel missed calls most. Second, discount for callbacks: the CallRail data suggests a meaningful share of callers do leave a voicemail or try again, so do not assume every missed call is a lost lead.
An independent methodology review traced the 62% figure to a 411 Locals study of uncertain date and could not locate the USD 126,000 figure in the AMBS report it is usually attributed to. Redial’s view is that a number you cannot trace is a number you should not put in front of a customer, however convenient it is. The calculation above will produce a figure you can defend because you built it.
Redial’s interest in this number is practical: the AI front desk it is previewing, IzzyOps (working name), is designed to take the miss rate toward zero by answering on the first ring around the clock, booking the job or appointment, and handing off to a person with the conversation attached when the call needs one 4 The measure Redial intends to track from the first pilot call is after-hours bookings captured, which is this calculation run in reverse. Redial will publish that measure from pilot data rather than estimate it.
How much does a missed call cost a small business?
It depends on your call volume, miss rate, lead share, close rate, and customer value. One published model with stated assumptions arrives at USD 12.15 per missed call and about USD 26,600 a year 3; a business with higher job values will be far above that. Build your own figure from the five inputs above.
Is it true that 85% of callers never call back?
That figure cannot be traced to a verifiable primary study and Redial does not use it. Verified consumer data shows 42% of callers leave a voicemail when nobody answers and 21% immediately call another business 1.
What share of callers go to a competitor?
82% say they will call a competitor if a business does not answer, and 21% say they do so immediately (CallRail, 1,000 US consumers, 2025) 1
What is the cheapest way to reduce missed calls?
Measure the miss rate by hour first. If most misses are after hours or during jobs, the answer is coverage for those hours rather than more staff; the next pages compare voicemail, answering services, and an AI front desk.
Book a demo of IzzyOps (working name), the AI front desk Redial is previewing, and we will run your numbers through the calculation together, then play a sample call that would otherwise have been missed. Commercial availability is planned for late 2026 to early 2027.
